How to Prepare Your Car for Shipping: A Complete Checklist

Preparing your vehicle before transportation can help make pickup and delivery easier. Whether you are moving out of Miami, purchasing a car from another state, or arranging long-distance vehicle delivery, a few simple steps can help you document the vehicle’s condition and avoid preventable complications.

Before your scheduled pickup, review the following checklist and confirm any carrier-specific instructions.

1. Clean Your Vehicle

Wash the exterior before pickup so that existing scratches, dents, chips, and other visible marks are easier to identify. A clean vehicle also makes it simpler to photograph its condition.

You do not necessarily need a professional detailing service. A basic wash that removes dirt and grime is usually sufficient for documenting the exterior.

Take photographs from the front, rear, both sides, and all four corners. Photograph any existing damage closely. Keeping dated photographs provides a useful reference when reviewing the vehicle’s condition at delivery.

2. Remove Personal Belongings

Remove luggage, electronics, valuables, loose objects, and other personal items from the vehicle. Transport carriers may restrict personal belongings because of weight, safety, liability, or regulatory considerations.

Ask the transportation provider whether any limited items are permitted. Do not assume personal belongings are covered by the carrier’s insurance or included in the shipping agreement.

Remove toll tags or electronic parking devices when appropriate, and secure any detachable accessories that could become loose during transit.

3. Check the Vehicle’s Mechanical Condition

Tell the carrier whether the vehicle starts, steers, brakes, and rolls normally. Disclose known mechanical problems, fluid leaks, warning lights, or other conditions that could affect loading and unloading.

If the vehicle is inoperable, confirm whether specialized equipment such as a winch is required and whether additional charges apply. Not every carrier can accommodate an inoperable vehicle.

Make sure the battery is sufficiently charged if the vehicle needs to be driven onto the carrier, and follow any instructions provided for electric or hybrid vehicles.

4. Check Fuel and Battery Requirements

Ask the carrier about its fuel requirements. Many shipments require only a limited amount of fuel to keep the vehicle movable, but the exact requirement can vary.

For electric vehicles, confirm battery charge recommendations and any special procedures. Inform the provider about charging-port issues or unusual operating requirements.

Avoid relying on general advice if your carrier has supplied different instructions for your specific vehicle.

5. Secure Loose Parts and Accessories

Remove or secure removable antennas, roof racks, bike racks, spoilers, and other accessories when instructed. Fold in the mirrors if appropriate and ensure windows, doors, and the trunk close securely.

Report modifications that may affect vehicle height, width, weight, or loading clearance. Oversized vehicles and cars with very low ground clearance may require a particular trailer or loading arrangement.

6. Prepare Keys and Documents

Have the required keys available and confirm who will hand over and receive the vehicle. The carrier may need to start, steer, or move the car during loading and unloading.

Prepare any documents requested for the shipment. Requirements can differ according to the vehicle, ownership situation, and route. Never send sensitive documents or keys through an unverified channel.

7. Review the Shipping Agreement

Before pickup, review the agreed price, payment schedule, cancellation terms, estimated pickup and delivery windows, and the provider’s responsibilities.

Ask how insurance coverage is arranged, which party is responsible for handling a claim, and how damage concerns should be reported. Verify that the written agreement reflects the service you actually booked.

8. Inspect the Vehicle at Pickup and Delivery

At pickup, review the vehicle condition with the carrier and ensure existing damage is recorded on the appropriate inspection report or bill of lading.

At delivery, inspect the vehicle before signing the final paperwork, compare its condition with the pickup record, and document any new damage immediately. Follow the carrier’s reporting process and retain copies of all relevant documents and photographs.

9. Confirm the Pickup Arrangements

Verify the pickup address, contact number, date, and expected arrival window. For door-to-door shipping, check whether the street can accommodate the carrier. Large trucks may not be able to enter narrow streets, gated communities, or locations with low overhead clearance.

If necessary, arrange a nearby safe meeting point with the transportation provider.
